Frieze is a media and events company with offices in London, New York and Berlin that comprises three publications, friezemagazine, Frieze Masters Magazine and Frieze Week; seven international art fairs, Frieze London, Frieze Masters, Frieze LA, Frieze New York, Frieze Seoul, and the newly acquired fairs Expo Chicago and The Armory Show; and frieze.com – the definitive resource for contemporary art and culture, with digital subscription membership products and accompanying mobile app. In addition, we have a permanent exhibition space at No.9 Cork Street, a hub for visiting international galleries in the heart of Mayfair, London.

Frieze is part of the IMG within the IMG Events and On Location division. IMG is a global leader in sports, fashion, events and media, a subsidiary of Endeavor, a global entertainment, sports and content company.

We are looking for an Exhibitor Services Assistant, to support Fair Managers and the wider team in carrying out necessary tasks to produce Frieze fairs, working closely with exhibiting galleries and other departments within the company. 

Provide support to galleries in regard to all aspects of their participation in the fairs

  • Update gallery information and maintain systems, such as Frieze Portal and CRM database
  • Support on the launch of the gallery platforms with the fair Managers and wider team, i.e., Exhibitor Manual
  • Coordinate exhibitor correspondence
  • Support exhibitors with enquiries including shipping, storage, cleaning, passes, etc.
  • Maintain high quality customer service on all fair delivery aspects
  • Oversee gallery enquiries and monitor gallery online submissions

Other departments

  • Coordinate Frieze Viewing Room gallery participation with Digital Team and On View on frieze.com
  • Provide and request exhibitor information as needed
  • Supply information to be included in promotional material for the fairs 
  • Liaise with Communications/Marketing team to ensure visibility and accuracy of gallery information across our platforms

At the fairs

  • Prepare exhibitor resources to be used at the fair, such as Welcome Guide and Exhibitors WhatsApp
  • Set up site for exhibitors 
  • Oversee Exhibitors’ Desk throughout the fair and working with temporary staff
  • Answer exhibitor queries and coordinate services onsite
  • Preparing onsite materials and equipment for the Exhibitors’ Desk

Systems and databases

  • Input and update exhibitor data
  • Produce reports and analysis for team 
  • Maintain exhibitor platforms 

Skills and Experience

  • High attention to detail 
  • Excellent organization and communications skills 
  • Ability to manage your time well and comfortable working to tight deadlines 
  • Team player who is able to work towards a shared goal
  • Art world experience / knowledge 

Working Conditions

  • Working hours are 35 hours per week
  • This role is based at Surrey Street, London
  • May be required to work weekends or evenings, during fairs and special events.

Application

This is a fixed term, full-time contract role that will run for 6-months, with the view for the role to go permanent longer-term. The the ideal candidate will be able to join the team as soon as possible. This role will be based from our offices in Surrey Street, London with optional 1-2 days working from home per week.
