Staffing Coordinator (FTC) - Frieze Seoul 2024

The Staffing Coordinator plays a crucial role in the operational success of Frieze Seoul 2024. This role will get involved in various aspects of staffing, including recruitment, scheduling, onboarding, and onsite operation. The Staffing Coordinator will support the HR team to ensure that the organisation has an adequate and qualified workforce to meet its operational needs. Extended working hours will be required when meeting project deadlines and when on-site for Frieze Seoul.

Key Responsibilities:

  1. Recruitment
  • Collaborate with the General Manager to identify staffing needs and develop job descriptions.
  • Source candidates through various channels, including online job boards, social media, and internal referrals.
  • Screen and list resumes, coordinate interviews, and manage documentation for the selection process.
  • Assist in role assignment, considering business demands, employee skills/availability, and relevant labor laws.
  • Prepare offer letters and contracts, ensuring accuracy and compliance with relevant regulations and policies.
  • Facilitate orientation and training for temporary staff, including scheduling sessions and coordinating teams.
  • Serve as the primary point of contact for temporary staff, providing prompt assistance and feedback.
  1. On-site operations
  • Organize and maintain the temporary staff office.
  • Arrange meals and distribute t-shirts for staff according to their schedules.
  • Monitor attendance and address any related issues.
  • Assist with the cloakroom and temporary staff with inquiries/requests as needed.
  • Ensure adequate supply of stationery and snacks for staff and organizers.
  • Undertake ad-hoc duties.
  1. Post event tasks and documentation
  • Gather and collate the necessary documents for payroll processing, such as personal information, banking details, and timesheets.
  • Ensure accuracy of payroll data and liaise with the payroll agency to resolve discrepancies.
  • Support in preparing post-event reports.
  • Assist with document translation, ensuring accuracy and cultural sensitivity.

Requirements:

  • Excellent organizational and time management skills, with the ability to multitask and prioritize effectively.
  • Exceptional attention to detail and accuracy in record keeping.
  • Excellent written and verbal communication skills – both in Korean and English.
  • Demonstrated ability to work collaboratively in a team environment.
  • Proficiency in MS office, outlook, and google doc is essential. 
  • Previous experience in event staffing coordination, operations, or a similar role is desirable.

Please note: The ideal candidate will start as soon as possible from June until Monday September 30th 2024. Initially, they will join part-time, working three days per week in June, transitioning to full-time from July through September.
