Key Responsibilities and Accountabilities

Support the Studios team with ad-hoc research and administrative duties

Check progress of projects, keeping track of timelines and deadlines and ensuring everyone’s calendar is up to date

Maintain internal databases to ensure that projects and client information is up to date and easily accessible for the team

Assist the Producers with paperwork and logistics for film shoots

Liaise with the Partnerships and Sales teams for video assets and materials

Assist in the coordination of photoshoots for Frieze Week magazine
-
Process and file invoices, set up new vendors in the system, assist with credit card reconciliation
-
Organise travel and accommodation for Studios and talents as required
-
Regularly update budgets, keeping track of receipts and expenses
-
Arrange meetings internally and externally

Assist with event production during the fairs
Please note: International travel to Frieze fairs may be required and working hours during the fair can fall outside the usual office hours of 10am–6pm.
Knowledge and Experience:
-
Proven experience in project delivery, both at physical events and digitally
-
Administrative support experience required

Proven ability to multitask many different responsibilities and collaborate with a wide range of teams, while maintaining a keen eye for details

Skills and Abilities:

Excellent attention to detail

Very organised

Proficiency in Microsoft Office, in particular Excel and PowerPoint

Ability to work independently and show initiative

Ability to efficiently prioritise tasks in a high-pressure environment
Desirable:

Familiarity with Mac OS

Familiarity with marketing platforms, eg Mailchimp.
